Why letting agency templates go wrong

Most agencies already use templates. The problems start when they read like a machine wrote them, or when the compliance wording quietly goes stale. Why this one matters: Awaab's Law has applied to social landlords in England since 27 October 2025, with fixed timescales for damp and mould — significant hazards investigated within 10 working days, emergencies within 24 hours. Acknowledge it the same day, in writing, with a job reference, a priority rating and a named next step ("we'll instruct a contractor and update you by Thursday"). The most common maintenance complaint is not the fault itself but silence after reporting it, so keep every update on the same thread.

What should a rent arrears email from a letting agent say?

A first-touch arrears email should be factual and unembarrassing: the amount due, the date it was expected, and two easy exits — "if you've paid, tell us" and "if you're struggling, call us". Escalate tone gradually in later messages and keep records of each contact, which may matter if possession proceedings are ever needed.

Can letting agents use AI to write tenant emails?
